Attention: All Parents and Guardians
Flat River Dance Company's Parent Guild (FRDCPG) is a vital
resource for the school. FRDCPG is a group of parent volunteers who are
enthusiastic about their child's dance education. Guild members are involved
with activities surrounding the school's productions, audience development, and
fundraising. The school utilizes guild members for a number of different tasks
throughout the school year. Parents actively involved in the guild are expected
to volunteer for at least one event throughout the season.
Saturday, October 13, 2012 we held our first Parent Guild
meeting of the year. We elected an Executive Board and selected chairpersons to
head off a few of our various committees and created new bylaws. These new
changes will allow FRDCPG to better guide our guild in its mission to represent
FRDC as a rich and valuable resource for our children as it relates to there
dance lives and their lives in our community.
Over the next month we will be accepting new members to serve
on the parent guild as volunteers and/or to become standing and or ad hoc
committee member.
One of the changes made to our bylaws is that every parent
who has a child enrolled in FRDC is now an eligible member of the guild. If you would like to attend any future meetings
we ask that you contact the guild president, because our meeting venues are
selected monthly and we want to be able to accommodate for the amount of
parents attending. The next meeting date and agenda will be posted on the FRDC
web site under the parent guild tab.
Being involved with the FRDCPG is a wonderful opportunity to
get directly involved in your child's dance education. If you are interested please

If you are unable to be part of the guild and would still like
to help you may directly donate to the FRDCPG by making a check out to FRDCPG
or delivering a cash donation to the FRDC office CC FRDCPG. Donations to the
guild will go toward operating cost, stage productions needs, performance hospitality
needs, scholarships and extra curricular activities.

Bylaws
ARTICLE
I - NAME
The
official name of this association shall be called Flat River Dance Company
Parent Guild
ARTICLE
II - PURPOSE
The
purpose of the FRDC Parent Guild shall be
- To
support the FRDC School through donations of time, treasure and talent
- To
represent FRDC to our community as a rich and valuable resource for our
children
-
Assist the artistic staff during all major productions and corresponding
rehearsals
- Planning
and coordinating fundraising opportunities for Flat River Dance Company such as selling business ads,
creating fundraising ideas etc.
ARTICLE
III - MEMBERSHIP
All
parents and guardians of students enrolled in Flat River Dance Company are eligible
members of the Parent Guild. The owners, directors and teachers are ex officio
members of the Parent Guild.
ARTICLE
IV - CONTROL OF FUNDS All
funds raised or received by the Parent Guild in the name or for the benefit of
Flat River Dance Company are the property of Flat River Dance Company and not
of any individual or group of individuals.
Funds
raised or received by the Parent Guild shall be tendered to the treasurer at
the earliest convenient date. Funds raised or received by the Parent Guild
shall be sufficient to cover expenses.
ARTICLE
V - OFFICERS
The
elected officers of the Flat River Dance Company Parent Guild shall be:
President
Vice
President
Recording
Secretary
Treasurer
In the
interests of families or individuals who wish to serve together, candidates for
each elected office may include a co-officer who may be a spouse or friend.
Co-officers must be on the ballot as such; a co-officer may not be named by an
elected officer after she or he is elected.
Section 1 - Terms of Office
The
term of the President shall be no more than two years.
The
terms of the Vice President, Recording Secretary, and Treasurer shall be no
more than three years.
Section 2 - Election of Officers
To
coincide with the FRDC school year, the Officers of the Parent Guild shall serve
from August 31st through May 31st.
Nominations
for Office and for service on the Executive Committee and Nominating Committee
shall be due two weeks before the November meeting, at which the slate of
candidates with their summaries of intent shall be presented to the Parent
Guild by the Nominating Committee. Elections by paper ballot shall take place
by the date of the November meeting. Newly elected Officers and members of the Executive
Committee and Nominating Committee shall be notified within two weeks of the
meeting, and will take office at the November meeting.
ARTICLE VI - EXECUTIVE BOARD The
Executive Board shall be comprised of the President, Vice President,
Recording Secretary, Treasurer, and three members-at-large. The Owners and/or
directors are ex officio members of the Executive Board.
The
Executive Board shall prepare for meetings of the Parent Guild, plan for
the activities of the year, prepare the budget, and tend to any Parent Guild
business between meetings of the Parent Guild.
These representatives must be nominated.
ARTICLE VII - DUTIES OF THE ELECTED
OFFICERS
Elected
Officers shall discharge their duties within the parameters established by
these Bylaws and according to the priorities of Flat River Dance Company.
Section 1 - President The
President shall
- Preside
at all meetings of the Parent Guild; - Call
for volunteers to serve on standing ad hoc committees - Appoint
chairs of the standing committees;
- Manage
the affairs of the Parent Guild;
- Present
Parent Guild projects, activities, and communications to the owners and/or Directors. -create agenda
Section 2 - Vice President
The
Vice President shall
- Perform
the duties of the President in her or his absence; - Assist
the President in work with the standing committees;
- Serve
as chair of ad hoc committees; - Assist
the President in managing the affairs of the Parent Guild
Section 3 - Recording Secretary
- Keep
a complete record of all proceedings at meetings of the Parent Guild;
- Provide
minutes of Parent Guild meetings to the Executive Committee, Owners and/or
directors, before dissemination to all members of the Parent Guild;
- Receive,
respond to, and report correspondence directed to the Parent Guild.
Section 4 - Treasurer
The
Treasurer shall - Receive
all funds raised from activities or events sponsored by the Parent Guild;
- Tender
all funds raised from activities or events to the owners and/or director.
- Keep
accurate records of funds raised, expenses, and requests for payments;
- Review
requests for funds from event coordinators and, if approved by the Executive Committee,
submit the appropriate request for payment form to the owners and/or directors for
her or his approval and payment;
- Request
a monthly or year-to-date Parent Guild income and expense statement from the
Flat River Dance Company's Owners and/or directors at least one week before
each Executive Committee meeting.
Section 1 - Election Committee:
The
Nominating Committee shall consist of seven members: three members-at-large who
serve on the Executive Committee and four additional members-at-large who shall
be chosen at each election.
The
Election Committee shall
- Receive
nominations from members of the Parent Guild;
- Seek
out Parent Guild members needed for elected office; - Gather
statements of intent;
- Prepare
the ballot for election;
- Email
the ballot to all members of the Parent Guild in time to meet election
deadlines; - Process
the return ballots;
- Present
the elected candidates to the Executive Committee, within two weeks of the November
meeting. -Volunteer or Nominate oneself.
Section 2-Audience Development & Community Outreach Committee
The Community Outreach committee shall
- Plan and coordinate all efforts to promote Flat River Dance Company within
the community and area schools.
- Assist in coordinating extra curricular performances for
community organizations such as benefits and tradeshows.
- Assist in coordinating activities targeted toward enhancing
enrollment at the Flat River - Dance Company and retaining existing student's
etc. open house and other promotional events Distribute
performance postcards and posters etc.
Develop
relationships with other youth organizations for their patronage.
Seek
out group and organizations to become patrons of FRDC (pre-schools, retirement
communities, girl scouts etc.)
Section 3 - Budget Committee
The
Budget Committee shall meet between May 31, 2013 and June 30, 2013 to review
standing committee budgets and prepare a budget for the year beginning July 1, 2013
The
Budget Committee shall
- Consist
of the current Executive Committee and newly elected officers;
- Be
chaired by the Parent Guild Treasurer;
- Request
a list of anticipated activities, expenses, and income from each Standing
Committee by May 15;
- Review
the anticipated activities, income, and expenses for each Standing Committee;
- Approve
or modify each Standing Committee's request and inform the Chair of the
Standing Committee;
- Prepare
a budget so that all activities of the Parent Guild result in income that meets
or exceeds expenses;
- Present
the budget to the Parent Guild.
Section 4 - Hospitality Committee
The
Hospitality Committee shall provide the organization and refreshments for
school events and activities that involve formal or informal gatherings in or on
behalf Flat River dance Company.
The
Hospitality Committee shall:
- Organize
the set-up refreshments for FRDC productions
- Collaborate
with administration to welcome new parents and students
- Plan
and conduct social event(s) of the committee's choice, such as movie night,
parties, field trips etc.
- Prepare a budget and present it to the Budget Committee.
Section 5 -- Fundraising Development & Special Events Committee
The
Community Outreach committee shall - Plan and coordinate all efforts to
promote Flat River Dance Company within the community and area schools.
- Assist in coordinating extra curricular performances for community organizations such as benefits and tradeshows.

Assist in coordinating activities targeted toward enhancing enrollment
at the Flat River - Dance Company and retaining existing student's etc.

Section 6 Backstage Production Committee -Assist production success by
helping in the following areas of:
Costume Dresser assistant,

assembly assistants.
ARTICLE XI - AD HOC COMMITTEES
The
Executive Committee of the Parent Guild shall from time to time establish an ad
hoc committee for a specific purpose. This committee shall be granted
permission to function until the need is met or the project is complete. Ex. t-shirts, apparel
ARTICLE VIII - VACANCIES AND DISMISSAL:
Members
of the Executive Committee shall fill any vacancy as soon as possible by
appointing a member of the Parent Guild to fill the unexpired term.
At
the next election, the appointee may choose to place her or his name on the
ballot or to withdraw.
An
appointee who is subsequently elected shall serve for a complete elected term.
Any
member of the Executive Committee who is absent without notification for three
meetings may be dismissed from the Executive Committee and her or his position
filled by an appointee
ARTICLE IX - MEETINGS:
Section 1 - Regular Meetings
The Flat River Dance Company's Parent Guild shall meet as needed. The Executive Committee shall meet a week before the meeting.
Section 2 - Special Meetings:
The
Executive Committee may call a special meeting of the Flat River Dance
Company's Parent Guild with notice of at least one week given to
members.
Section 3 - Conduct of the Meetings
The
meetings shall be conducted using a prepared agenda. Agenda items may
be submitted by the members to the Executive Committee before their
monthly meeting.
ARTICLE X - STANDING COMMITTEES
The following shall be the Standing Committees of Flat River Dance Company's Parent Guild and their responsibilities.
Election Committee
Budget Committee
Community Outreach committee
Hospitality Committee
Audience Development committee
Fundraising Development & Special Events committee
Back stage Production committee
ARTICLE XIV - AMENDMENTS
These
By-Laws may be amended from time to time. Proposed Amendments and their
rationale shall be submitted in writing to the Executive Committee before any
regular meeting. The proposed Amendment and its rationale shall be placed on
the agenda for discussion at the next Parent Guild meeting. Pending a favorable
outcome of the discussion, the proposed Amendment and its rationale shall be
presented by the Executive Committee to the Advisory Board for approval. Upon
approval from the Advisory Board, the Amendment and its rationale shall be
communicated to the Parent
Guild
membership.
ARTICLE XII - ACCOUNTABILITY IN GOVERNANCE
The
Flat River Dance Company's Parent Guild is organized and functions with the
consent of the FRDC owners and directors and is accountable to the FRDC owners
directly. This accountability extends to, but is not limited to, the owners and
Directors final approval on all Parent Guild projects, budgets, activities, and
communications to the parent members.
ARTICLE XIII - INSTITUTION AND DISSOLUTION:
The
Flat River Dance Company's Parent Guild is organized and functions with the consent
of the Flat River Dance Company's Owners and/or Directors. If the Owners and/or
Directors deem the existence of the Parent Guild to be no longer in the best interests
of Flat River Dance Company, they shall have the authority to dissolve the
Parent Guild. Solicitation of any kind is strictly prohibited by any of our
parents, parent guild members, or legal guardians or past parent guild
members, parents, or legal guardians. One may not use any such personal
information (such as personal phone numbers, email lists, or addresses)
to solicit current or past students or other parents retained by FRDC
via registration forms or emails.
